Robert Half has an exciting position available for an Accounting & Payroll Specialist to join an excellent client in the Kingston area. This is a full-time/permanent role on site. Advantages:-Competitive salary (60-65K yearly/Christmas bonus)-Full benefits DPSP-3 weeks vacation 5 personal days-Free parking-Education reimbursement-Excellent team and culture-Opportunity for advancementResponsibilities:-Ensures that all vendor invoices entered by Accounting Administrative Assistant includes all required information to process payment including cost code, approval by the Project Manager, etc.-Final validation of vendor invoices against purchase orders, quotes, pricing agreements and pertinent documents to ensure accuracy and completeness when recording total costs in the accounting software (Maestro)-Maintains ledgers, credit balances, and corrects account irregularities-Validates data entry by Accounting Administrative Assistant for travel and expenses submitted by employees (cost code, approvals, etc.). Processes accurate payment in accordance to guidelines-Assist with monthly bank reconciliations-Collaborates with management to maintain cash goals-Prepare and fills out payments to third parties, whether by EFT, check, credit, and other forms of payment if required-Investigate and resolve billing discrepancies or misapplied cash transactions aligned with the A/P policies and procedures-May be required to post A/P data to profit/loss reports, balance sheets, income statements, and other documentation-Validates and reconciles all remittances, ensures that they are complete and processed in a timely fashion (e.g., WSIB, EHT, HST, government, corporate taxes, etc.)-Responsible for bank follow-ups as well as expense inquiries/ updates-Collaborates with the Office & Accounting Manager to enhance current processes and policies and facilitate end user adherence-Provide periodic support for A/R as required including collections & A/R inbox responses-Processes weekly payroll of salaried head office employees and hourly unionized construction staff. Collect and organize timesheets, and enter information related to employees' hours worked and pay periods into the payroll system-Maintain detailed records and documentation of all payroll transactions including new hires and terminations. Ensures all forms are complete and filed in employee folder-Prepare payroll reports, reconciliation and remittances-Pay all union fees (rates, pension, etc.) as per Union agreements. Responsible for remittances of all hours, processes annual updates as per agreements-Assist the Office & Accounting Manager with production and timely distribution of T4's and other year end reporting-Facilitate company benefits program including but not limited to setting up new employees, completing changes, performing reconciliations and analytics-Respond to employees' payroll-related inquiries via telephone or email, and make necessary adjustments to fix any errors or discrepancies with Manager approval-Prepare and balance period-end reports and reconcile issued payrolls to bank statementsQualifications:-Post secondary education in Accounting, Finance, or Business Administration is an asset-Payroll Certification (PCP) is a strong asset-3 years' experience in bookkeeping and payroll-Experience accurately calculating, posting, correcting and managing accounting figures and financial records is required-Ability to perform moderate to complex account reconciliations is required as well as preparing financial reports-Knowledge of accounting systems (Maestro is an asset), budgets, and internal controls is required-Working-level knowledge of Canadian payroll regulations and guidelines is required-Knowledge of the construction industry and the unionized environment is an asset-Strong communication skills - clear written and oral communication-Builds collaborative and constructive working relationships with colleagues, managers, key business partners, and government agencies-Sound analytical thinking, planning, prioritization, and execution skills-Strong organizational skills and ability to set prioritiesIf this position interests you, please apply online todayRobert Half is the world's first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
