Job Description

We are offering a short term contract employment opportunity for an intermediate Administrative Assistant in Toronto, Ontario. The role will be focused on providing crucial administrative support across various departments, managing schedules, and maintaining communication within the team. Responsibilities:- Prepare and distribute memos, forms, presentations, and spreadsheets using MS Office Suite.- Oversee and manage incoming and outgoing mail, ensuring prioritization and proper tracking.- Monitor and respond to e-mail and voice-mail communications.- Draft correspondence for internal and external stakeholders, responding to telephone and written inquiries.- Schedule, arrange, and support internal and external meetings, conferences, or consultations, including preparation and distribution of necessary materials.- Assist with registration and administrative tasks at off-site events or conferences.- Provide support to the director, managers, and staff on all administrative matters.- Coordinate attendance for the department, keeping records of absences and adjusting schedules as required.- Support for large-scale projects or organization-wide support in a specific administrative area.- Provide back up for other administrative assistants during absences or times of high workload.- Utilize MS Excel for various administrative tasks.- Must possess proficient knowledge and skill set in MS Excel- Demonstrable experience in an administrative assistant role or similar position- Strong organizational skills with the ability to multi-task- Excellent written and verbal communication skills- Ability to handle sensitive and confidential information with discretion- Strong problem-solving skills and ability to think critically- Ability to work both independently and as part of a team- High attention to detail and accuracy- Strong time management skills with the ability to prioritize tasks effectively- Proactive attitude with a strong drive for results- Ability to adapt to changing circumstances and manage multiple deadlines- A minimum of a high school diploma or equivalent; a Bachelor's degree is preferred- Experience with other Microsoft Office applications, such as Word and PowerPoint, is preferred.Robert Half is the world's first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
