The IGES Institute is a leading private-sector research and consultancy institute for infrastructure and health and forms the core of the IGES Group. IGES UK Pharma Ltd. is a new entity in the UK, and part of the IGES Group, set up specifically to offer strategic advice to clients for early trial planning and launch of new innovative medicines within the NHS system to secure reimbursement.
To strengthen and complement our existing extended team, we are looking for a Finance and Office Assistant (20-25h/week) to start as soon as possible in the Reading, UK operating a hybrid working model.
Primary responsibility:
- Preliminary Bookkeeping: working closely with the bookkeeper regarding expense treatment and bookkeeping, provide missing information, discuss timelines for quarterly reporting, ensure plausibility of bookings, data maintenance.
- Invoicing and Approval Management: Responsible for overseeing all invoicing tasks, including verifying invoices against timesheets, coordinating with the line manager for approval, ensuring the accuracy of received invoices before payment.
- Cash Management & Bank Payments: Responsible for monitoring liquidity by regularly checking the balance between incoming and raised invoices, setting up payments for expense claims and client invoices according to due dates.
- Contact Person for external clients for any outstanding claims or queries and for all employees regarding administrative and financial matters, as well as for tax advisors/payroll providers.
- Administrative tasks: Oversee employee training, set up proposals and projects within the IIS5 system, and troubleshoot timesheet bookings to ensure smooth operations.
- Office Management: Supporting the Managing Director with travel bookings (transport and accommodation) and other organisational tasks.
Skills, experience and education:
- Relevant degree, certification or equivalent in Finance/Accounting
- 3+ years of experience in a comparable role
- Previous experience with accounting software preferable, especially XERO
- Highly numerate with strong analytical skills with good attention to detail
- You will need to be eligible to work in the UK/EU without sponsorship
- Strong communications skills, flexibility and organisational skills
- Proficiency in Microsoft PowerPoint, Word and Excel
