Project Administrator (Facilities Management)

£35,000 - £40,000

Job Overview:
We are currently working exclusively with an exciting young building services business to recruit for a Project Administrator (FM). The Project Administrator will support the project management team by coordinating tasks, managing documentation, and ensuring that projects run smoothly and are completed on time and within budget.
Key Responsibilities:
* Assist the project management team in coordinating and executing project tasks.
* Maintain and update project schedules, timelines, and deliverables.
* Monitor project progress and provide regular updates to stakeholders.
* Handle project documentation, including contracts, reports, and meeting minutes.
* Organise and facilitate project meetings, including preparing agendas and distributing notes.
* Track project budgets and expenses, ensuring adherence to financial constraints, by raising PO's and Invoices.
* Liaise with vendors, contractors, and other external partners.
* Ensure compliance with company policies, procedures, and standards in all aspects of the project.
* Identify and escalate issues or risks to the project manager.
* Assist in preparing presentations, reports, and other project-related materials.
Key Skills & Qualifications:
* Ideally hold at least 1-3 years of experience in a project support or administrative role.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with project management software would be a bonus (e.g., MS Project, Trello, Asana) is a plus.
* Excellent organisational and time-management skills and strong written and verbal communication abilities.
* Ability to handle multiple tasks while maintaining a high level of accuracy.
* Strong analytical skills with the ability to anticipate and resolve issues.
* Ability to work collaboratively with cross-functional teams.
* Flexible and able to handle changing priorities in a fast-paced environment.
