Job Description

  1. Answer incoming phone calls in a pleasant manner using the hotel’s telephone etiquette guidelines. Handle telephone inquiries according to departmental procedures.
  2. Coordinate all group arrangements.
  3. Work with group contacts to facilitate program planning and requirements.
  4. Communicate group needs and specifications to all relevant departments.
  5. Follow up with post-conference reports and review group billings.
  6. Input all group bookings and update booking activities in the system on a weekly basis.
  7. Prepare reports, maintain proper records, and filing systems in accordance with the hotel’s sales administration process.
  8. Maintain gifts inventory and coordinate the sending of gifts to clients.
  9. Arrange site inspections for potential clients.
  10. Promote positive relations with clients and attend to all requests expediently and courteously.
  11. Acknowledge and handle clients’ complaints and comments tactfully and efficiently. Report incidents or other irregularities to management.
  12. Up-sell and promote the hotel’s facilities and services at every available opportunity in order to maximize sales revenue.

Qualifications

  1. Diploma in Tourism / Hospitality Management.
  2. Minimum of 2 years of experience in a similar capacity with proven track records.
  3. Excellent reading, writing, and oral proficiency in the English language.
  4. Proficient in MS Excel, Word, & PowerPoint.
  5. Good communication and customer contact skills.
  6. Service-oriented with an eye for detail.
  7. Ability to work well in high-pressure situations.
  8. A team player & builder.
  9. A motivator & self-starter.
  10. Well-presented and professionally groomed at all times.
