Job Description
NB this role is part-time, based in our Hoxton office.
As PA/Office Manager for Zebra People, you will perform a vital role for our team, coordinating all areas of day-to-day office operations, ensuring that the business runs seamlessly, and the office is a vibrant, organised place for our team to work.
You’ll be enthusiastic and organised, committed to running our office located in the heart of Hoxton.
Responsibilities:
- Promoting a positive office culture, supporting on team builds and parties
- Logistics and support on events, hosted at Zebra People’s HQ
- Monitoring and ordering office supplies
- Assisting the MD with PA support when required, including diary management, restaurant and hotel bookings, client liaison
- Managing the IT and telecoms functions and general office maintenance
- Ensuring passwords are regularly reset, amended, and circulated in line with our cyber security policy
- Supporting on database management and weekly reporting
- Keeping the Zebra People LinkedIn page and socials up to date
- Supporting the people function with onboarding and offboarding of employees
- Organising fruit delivery and ensuring that tea/coffee/milk is stocked
- Ensure the office is tidy and clutter-free
- Maintaining relationships with existing suppliers and where possible revising costs for facilities, such as plants, cleaning, IT and utilities
- Adhering to our Zebra People Eco Policy – ensuring we are running the office in the most sustainable way including overseeing recycling
- Supporting finance and compliance, covering absence when required
- Manage deliveries and office mail
- Greet visitors at the office
Personal Skillset:
- Experienced in MS Office Suite, specifically Excel and Outlook
- Excellent communication and organisational skills
- Proactive nature with a can-do attitude
- A patient and confident communicator with the ability to build relationships with people of all levels
- Experience working in a fast-paced environment
- CRM/database experience preferred but not essential
- An enthusiastic team player with a strong drive to create a positive work environment.
