We are supporting our events agency client with their search for a dynamic and organised Project Coordinator to join their growing Events and Exhibition agency.
As an Events Project Coordinator, you will play a pivotal role in the planning, execution, and coordination of a wide range of events, from corporate conferences, and exhibitions to experiential activations. You will also work on wider full-service projects including creative, digital, and video production.
Your attention to detail, strong communication skills, and ability to manage multiple tasks simultaneously will contribute to the success of our clients' events and the overall growth of their agency.
Location: Greater Manchester
Salary: 24k-25k (DOE)
January 2025 start!
Key Responsibilities:
Project Management:
- Assist in the planning, coordination, and execution of various events from concept to completion, adhering to timelines, budgets, and client specifications.
- Collaborate with clients to define event objectives, themes, and desired outcomes.
- Develop comprehensive project plans, timelines, and task lists for each event, ensuring all elements are seamlessly integrated.
Logistics Coordination:
- Source and liaise with vendors, suppliers, and venues to secure necessary resources, negotiate contracts, and manage event logistics.
- Coordinate transportation, accommodations, catering, AV equipment, décor, and other event-related services.
- Oversee event setup and teardown, ensuring all elements are in place and that the event space is transformed according to the client's vision.
Communication and Client Relations:
- Serve as the main point of contact for clients, maintaining regular communication and providing updates on project progress.
- Address client inquiries, concerns, and feedback promptly and professionally.
- Foster strong client relationships by delivering exceptional service and exceeding expectations.
Team Collaboration:
- Work closely with cross-functional teams, including designers, marketers, and production staff, to ensure cohesive event execution.
Budget Management:
- Assist in developing event budgets, tracking expenses, and ensuring adherence to financial guidelines.
- Monitor costs and make recommendations to optimize budget allocation and achieve cost-effective event solutions.
On-Site Event Coordination:
- Oversee on-site event operations, ensuring smooth execution, problem-solving, and quick decision-making as needed.
- Coordinate with event staff, vendors, and partners to manage event flow, timing, and attendee experience.
Qualifications:
- Bachelor's degree in Event Management, Hospitality, Marketing, or related field (or equivalent work experience).
- Proven experience in event coordination or project management, preferably within the events industry, ideally within agency.
- Strong organisational skills and attention to detail, with the ability to manage multiple projects simultaneously.
- Excellent interpersonal and communication skills, both written and verbal.
- Proficiency in event planning software, project management tools, and Microsoft Office Suite.
- Ability to thrive in a fast-paced, deadline-driven environment.
- Flexibility to work irregular hours, including evenings and weekends, based on event schedules.
- Creative problem-solving abilities and a proactive approach to overcoming challenges.
