Posting Details Posting Number: 20244177S Position Title: Coordinator, Course Development and Operations Position Type: Staff Location: Villanova, PA Recruitment Type: Internal/External Applicants Work Schedule: full-time/12-months Department: 981 - Internal Online Prog Mgmt Position Summary: The Coordinator, Course Development and Operations (C-CDO) is a member of the Office of Online Programs (OOP) Learning Experience Team (LX Team) who will focus on coordinating online course offerings each term with academic programs. The C-CDO will be responsible for directly liaising with academic programs to confirm accurate lists of online courses to be duplicated by the Instructional Designers (ID) in the Learning Management System (LMS), cross-checking these courses with the master schedule, and documenting them in an internal database (QuickBase) to manage LX team workflows. Reporting to the Director of Course Development and Operations (D-CDO), this person will provide operational support to the entire LX Team through detail-oriented management of the course updates process and regular administration of team reports in QuickBase. While primarily focused on coordination and project management related activities, this person may be asked to support team members with content creation or technical related items within the LMS as needed. Duties and Responsibilities: Coordinates Course Schedule Duplications: Works with academic program partners to solicit and confirm the courses that need to be offered in an upcoming term that are duplications of previous courses (versus course revisions which come through a different queue). Cross checks this list of duplications with the master course schedule and updates internal OOP database (QuickBase) with all duplications. Collaborates with program liaisons and D-CDO to troubleshoot any issues with the duplication schedule. Audits syllabi in these duplicated courses within the LMS to ensure appropriate faculty information and live session times are available to students. Updates course settings and information in the LMS as needed/requested. Coordinate Course Updates: Monitors course update and hot fix requests sent in via email by faculty and programs and logs all requests into QuickBase. Coordinates workflow for course updates with appropriate IDs, Multimedia Experience Designer (MXD), or Learning Experience Designer (LXD) and closes out course updates when complete. Administers QuickBase: Collaborates with OOP leadership to create and run custom reports in OOP database to inform efficient and timely workflows. Contributes to regular team process improvements to ensure operational success and adherence to designing “the Villanova Way”. Other duties as assigned, including but not limited to occasional support of IDs, MXDs, and LXDs with content creation and technical tasks using LMS and partner tools. Assists D-CDO with select administrative projects. Minimum Qualifications: Bachelor’s degree required. Experience coordinating tasks with multiple stakeholders. Excellent project management skills and experience with project management software tools (e.g. QuickBase). Working knowledge of databases. Willingness to train on software tools and become proficient in QuickBase. Experience with software and hardware used in office settings, including Teams, Excel, Zoom, and SharePoint. Basic knowledge of learning management systems (e.g. Blackboard, Canvas, BrightSpace). Experience with basic content creation (e.g. PowerPoint, Canva) desired. At least one year of demonstrated full or part-time experience working in a team-based environment. Desire to work in a mission-driven, cross-functional, team-based environment with a commitment to process improvement. Demonstrated ability to communicate effectively with both technical and non-technical stakeholders. Excellent organizational skills and attention to detail. Strong technical troubleshooting skills. Experience managing complex projects with limited resources. Strong written, oral communication, interpersonal and collaborative skills. Adept at prioritizing tasks, conducting proactive follow-up outreach to constituents and helping the team meet deadlines in a very fast-moving organizational environment. Preferred Qualifications: Degree or certificate in project management or related field is preferred. Prior experience working in higher education is a plus.
