Job Description
DESCRIPTION To supervise and coordinate the lease administration team's day-to-day operations, ensuring accurate and timely management of all lease-related activities. This role focuses on providing leadership, guidance, and support to the team while maintaining compliance with legal, financial, and company standards. To achieve lease administration targets. DUTIES & RESPONSIBILITIES Team Supervision Supervise team delivery review team targets and deliverables, clearly communicate required outcomes, track progress, resolve challenges, and ensure the successful delivery of tasks. Input into departmental policies review allocated policies and procedures, identify gaps, propose changes, and make recommendations for amendments to improve efficiency and effectiveness. Reporting on team performance collect, analyze, and collate relevant data, develop insights, and provide actionable recommendations for continuous improvement, submitting reports. Lease Administration Achieve Lease Administration targets actively supervise and participate in daily lease administration tasks to meet team goals and targets, ensuring timely and accurate execution. Supervise cross-department communication define communication standards and methods, monitor compliance, and ensure smooth and effective communication between the lease administration team and other departments. Maintain quality standards implement approved quality standards, regularly review leases, check systems and documentation for accuracy, and ensure completion in line with set standards. Resolve escalated queries investigate complex lease administration issues, gather necessary information, resolve problems, and provide feedback within agreed-upon deadlines. Supervise lease application processing monitor and ensure the quality of tenant vetting, affordability assessments, documentation collection, and lease status communications with tenants. Stakeholder Engagement Providing education and support identifying risks, scheduling and conducting training sessions for stakeholders to ensure lease compliance. Improving relationships looking for opportunities to improve stakeholder relationships and proposing recommendations. Reporting on stakeholder engagement gathering data, analyzing, and submitting reports on stakeholder interactions. Staff Management Recruitment managing the hiring process by interviewing candidates and providing feedback. Resourcing, understanding team workload and securing necessary resources. Managing performance setting clear performance expectations and providing regular feedback. Developing staff supporting professional growth through mentoring and development programs. HR Policy Implementation ensuring adherence to HR policies and addressing any compliance issues. MINIMUM QUALIFICATIONS & EXPERIENCE REQUIRED NQF 5/6 in relevant field (Estate Agency/Administration/Finance etc) 3-5 years Lease administration experience is required 2 years team supervision is preferred OTHER COMPETENCIES People Management Team Leadership Emotional Intelligence Performance Management Attention Detail Emotional intelligence Customer Service Written and verbal communication Interpersonal skills Planning and organising
