Job Description

Description To manage the revenue and expense management, tenant, building, people and reporting within the Operations department. DUTIES & RESPONSIBILITIES Revenue & Expense Management Oversee Building Managers (BMs) in distributing statements and follow-ups with tenants for timely rent collection. Monitor and manage expenses within budget by analyzing key expense drivers. Investigate and manage water leaks and breached meters by conducting monthly utility variance analyses. Building Management Regularly conduct monthly and quarterly night inspections to maintain a personal exposure to the properties. Ensure compliance with maintenance processes by instructing BMs to report and tracking work order turnaround times. Act as the representative for occupational health and safety matters across the portfolio. Monitor and report defects related to security systems like access control and CCTV. Oversee the cleanliness of buildings by managing BMs and contractors involved in waste, refuse, and recycling management. Actively explore and pursue new letting and sales opportunities. Tenant Management Supervise the In and Out inspection process by auditing BMs inspections. Conduct ad hoc inspections to ensure units meet required standards. Resolve tenant complaints by addressing escalated issues in the CRM system. Ensure professional communication with tenants via various channels like letters, SMS, and tenant applications. People Management Manage staffing needs through recruitment, performance reviews, and disciplinary actions. Foster high morale and team cohesion through regular meetings and continuous engagement across departments. Oversee daily objectives and conduct performance reviews for Building Manager Reporting Generate formal reports for portfolio meetings by extracting and analyzing data from property management systems. Create informal reports by interpreting building data for internal use and improvement. Building Maintenance Management Oversee the month-end turnover and restoration of vacant units, as well as occupied unit maintenance delivery. Track and ensure completion of day-to-day maintenance within service standards by reviewing maintenance trends and patterns. Supervise the behavior of maintenance teams, ensuring they follow safety and appropriate protocols. Identify recurring maintenance failures and trends by analyzing feedback and complaints. Monitor compliance with health and safety measures, tracking areas of non-compliance. Inventory Management Supervise monthly stock counts, review reports, and address discrepancies. Address stock variances by identifying root causes and implementing corrective actions. Develop processes for issuing stock and ensure compliance, while taking corrective actions when necessary. Stock Purchasing Management Manage stock purchasing within the annual budget by creating and submitting a stock plan. Identify required stock items, source new suppliers, and ensure compliance documentation is in place. Capture order details into the system, ensuring that values align with quotations. Review and reconcile purchase orders, investigating status and taking corrective actions as needed. MINIMUM QUALIFICATIONS & EXPERIENCE REQUIRED NQF 6 in Property Management and/or Operations advantageous. 5 years experience in property management or operations management is essential 3 years experience in managing a building operations team is essential OTHER COMPETENCIES: Team leadership Collections policy adherence Operations techniques Facilities management Data analysis and interpretation Written and verbal communication Interpersonal skills Planning and organising
