Job Description

Duties: Front Desk Management: -Greet clients and visitors with professionalism and courtesy. -Answer, screen, and direct incoming calls promptly and accurately. -Manage and maintain the reception area, ensuring it is clean and organized. Client Interaction: -Schedule client appointments and maintain accurate records. -Assist clients with inquiries, ensuring a positive experience. -Handle incoming and outgoing mail, including confidential documents, with discretion. Administrative Support: -Assist with preparation of correspondence, reports, and client documents. -Manage meeting room bookings and ensure they are ready for use. -Coordinate office supplies and place orders as needed. -Perform data entry and update internal databases with accuracy. Collaboration and Communication: -Liaise with accounting staff and other departments to coordinate schedules. -Communicate updates or changes to appointments and meetings effectively. -Support the team with additional administrative tasks as needed. Qualifications and Skills - Matric; additional qualifications in administration or customer service are an advantage. -Prior experience as a receptionist, front desk professional, or administrative assistant, preferably in a professional services environment. -Excellent communication and interpersonal skills. (Must be fluent in English and Afrikaans) -Strong organizational abilities with attention to detail. -Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office management software. -Professional appearance and demeanor. -Ability to handle sensitive information with confidentiality and discretion.
