Job Description
Requirements: 2 3 years experience in a Project Coordination or Project Administration role Matric or equivalent qualification Proficiency in Microsoft Office Suite Duties: Project Coordination: Support the planning and execution of projects in close collaboration with the Project Manager and teams Upload project details into the system, monitor project progress and track milestones to ensure timelines are met Supplier and Procurement Management: Communicate with suppliers and vendors to place orders of items necessary for the project Ensure all Purchase Orders are correctly completed and comply with procurement procedures Track and manage the status of purchase orders, ensuring timely delivery and cost efficiency Build and maintain strong relationships with suppliers to ensure smooth operations and promptly address any issues that arise Documentation and Reporting: Ensure project data is accurate and up-to-date, assisting the Project Manager with reporting tasks Organize and maintain filing systems and databases to keep comprehensive project records Invoicing and Financial Administration: Oversee the invoicing process for completed projects, ensuring accurate and timely billing to clients Coordinate with the finance department to ensure accurate invoicing for Sales Representatives commissions and include all necessary details Verify invoicing details, such as customer information, quantities and pricing, before processing payments
