Job Description
We are a dynamic and fast-paced operation in based in the Transportation Industry, looking to add a Contract Maintenance Coordinator to our Contract Services Department. The role of the Contract Maintenance Coordinator will be to support the Maintenance contract side of the Contract Services Department by connecting with customers to schedule all annual and bi-annual inspections on equipment. You will be responsible for ensuring that communication arrangements are dealt with in a timely manner while working with our Mobile Service department and outside Vendors to ensure that we have appropriately and efficiently scheduled repairs and PM services. Duties: Schedule Maintenance: Coordinate with customers and equipment users to schedule maintenance activities, ensuring equipment is available for service as needed. Set up Preventive Maintenance (PM) Codes: Responsible for creating and configuring PM codes in the system at the beginning of the initial contact to ensure accurate tracking and scheduling of maintenance activities. Regular Reporting: Generate and distribute regular reports to customers, advising them of upcoming maintenance due dates for their equipment. Equipment Hour Collection: Collect and record the operating hours of equipment to track usage and determine maintenance needs. Vendor Coordination: Schedule maintenance services with outside vendors for equipment located outside the primary territory. Invoice Processing: Process and manage sublet invoices from external vendors to ensure accurate and timely billing along with internal repair orders. Customer Communication: Maintain clear and effective communication with customers regarding maintenance schedules, service updates, and any potential delays. Record Keeping: Maintain accurate and up-to-date records of all maintenance activities, equipment hours, and service schedules. Compliance: Ensure all maintenance activities comply with company policies, safety regulations, and maintenance contract terms. Knowledge & Skill: Strong Computer Skills: Proficiency in using various computer applications and software. Excel Expertise : Advanced knowledge of Microsoft Excel, including the ability to create and manage pivot tables, perform VLOOKUP functions, and utilize other advanced Excel features such as conditional formatting, data validation, and complex formulas. Previous Transportation or Operational Experience : Preferred, with various roles within transportation being beneficial. Process Improvement: Actively engage in process improvement to further develop our systems. Communication Skills: Advanced verbal and written communication skills for effective collaboration and reporting. Customer Relationship Skills: Demonstrated ability to build and maintain strong customer relationships. Conflict Resolution Skills: Strong ability to resolve conflicts within the team and externally with customers. Troubleshooting and Problem-Solving Skills: Ability to evaluate current situations, respond quickly to changing requirements, execute and escalate accordingly. Organizational and Time Management Skills: Strong ability to work under pressure in a fast-paced setting, multitask, and prioritize in a deadline-driven environment with an appropriate sense of urgency. Independence and Collaboration: Ability to work independently and collaborate with others to meet customer expectations. Teamwork: Works well in a team environment. Geographical Knowledge: Familiarity with Canada, US and GTA geography. Punctuality and Commitment: Punctual to shifts and willing to put in additional time where needed to ensure success within the Contract Services team.
