We are currently recruiting for a Site Services Administrator to join the Facilities team. The purpose of this role is to provide administrative support to the Facilities and Safety, Health and Environmental (SHE) Team by developing, implementing and improving good practices ensuring that OXB policies and regulatory standards are met. Our Facilities teams lead various buildings and infrastructure changes across all our workplaces. This includes external and internal redevelopment projects, equipment maintenance and repairs while ensuring our premises remain secure, safe and clean for our employees to work. Your responsibilities in this role would be: Providing Facilities support with monitoring and ordering of office supplies for all sites, overseeing the Stationary Contract including stationary checks at Oxbox fortnightly. Monitoring the Facilities inbox to ensure that all appropriate enquiries are dealt with in a timely manner. Monitoring of the Facilities and SHE tracker as well as ihasco training for employees. Tracker. Overseeing arrangements for SHE Training (eg booking external training providers). Raising and receipting invoices for FAC & SHE on IFS. Ordering and stock checking of consumables for the kitchens and for first aid supplies. Maintaining the Capita Registrars Shareholders spreadsheet. Administrating risk assessments on IFS. Acting as Site Services training delegate. Attending safety & FAC meetings at all sites and as and when required recording meeting minutes, including arrangements and minutes of the OXB Safety Committee. Maintaining the H&S Training tracker, adding new starters, and updating individual records. Traveling between OXB sites weekly. Overseeing the Money Penny contract including chairing monthly meetings and providing the Facilities Manager with reports as required. We are looking for: GCSE English and Maths. Good working knowledge of Microsoft Outlook and the Microsoft Office package. A good background in administration. Ordering and stock check of consumables for the kitchens and first aid boxes. Previous experience in a similar role would be advantageous. Ability to travel to different sites.
