Job Description

Requirements: Valid drivers license and own transport (for emergency response) to make the necessary purchases for the complex Computer literacy (MS Word, Outlook, Excel) Good communication skills Knowledge of Body Corporate rules Knowledge of basic Health and Safety procedures Be available for emergencies as required outside working hours Good management and people skills Duties will include, but not limited to: Liaison duties: - Maintain regular contact with Managing agent consultant. Maintain liaison between owners and trustees. Have knowledge of distinction between owners liabilities and body corporate liabilities. Provide information to all occupants of interruption of any services e.g. water shutdown, electrical interruption etc. Maintain database of regular contacts for routine contractual work for both Trustees and Owners if required. Have pre-arranged regular meetings with chairperson of trustees (update/information exchange meetings). Assist owners to complete insurance claims and refer them to Managing Agent as needed. Inform owners and trustees or Managing Agent in case of an owner in bridge of Conduct or Management rules. Employee management: - Oversee/supervise ALL employee duties. Conduct any performance reviews of staff annually. Manages leave requirements for all staff and records thereof. Co-ordinate part-time employee requirements and records thereof. Building maintenance: - Regular inspection of all common areas and document any defects that require trustee intervention. Supervise any contractual work on common areas. Keep relevant documentation of all contractual work. Keep documentation relating to warranties with regards to contractual work with easy accessibility for trustees to inspect if required. Arrange, monitor and administrate all regular maintenance activities as well as statutory inspections and checks (e.g. generator service and testing, lift, safety, fire, security systems, etc.) Monitor conformance to rules/permissions of renovation work by owners Manage diesel fuel levels and delivery for generator. Manage inspections and repair services for equipment in common areas. Oversee the maintenance of the swimming pool. Perform minor maintenance work in common areas such as replacement of light bulbs, sticky door locks, etc. Safety: - Keep relevant documentation of all transient personnel entering building for contractual work (including those contracted by owners/tenants) Ensure contract workers adhere to rules of Body Corporate (working hours, cleaning and removal of any material etc). Ensure regular inspection of fire equipment and keep relevant documentation. Keep all escape routes clear of any obstruction (inspection regularly) In the event of any need to evacuate building help co-ordinate such process. Co-ordinate between security agents and trustees/owners. Have access to camera data to confirm any breach of security. Administration: - Issue weekly summary report to trustees and Managing Agent of key/noteworthy activities. Maintain record of owner key remotes. Log/synchronise key remotes onto the gate control systems. Manage safe keeping of door keys for each unit and keys for operational building and rooms. Manage petty cash account for daily building operational/maintenance expenses. General administration duties (writing email, preparing basic spreadsheets , including basic scanning and storage of hard copy documents) Working Hours: Monday to Friday: 08h00 13h00 Public Holidays and weekends excluded. Be available for emergencies as required outside working hours.
